What is a cement stock register?
A cement stock register records every bag of cement that enters and leaves the site store. Each delivery is entered as a lot with its challan, brand, type and week of manufacture; each issue is booked against a lot; and the daily balance shows opening stock, receipts, issues and closing stock to check against a count.
It answers what came in, what is left and how old it is. What each bag was used for is the job of the cement consumption register; the two are kept side by side on most sites.
What is in the cement stock register workbook?
- Project Details — project particulars, the register period, the stock date and the re-test age.
- Lot Receipts — one row per delivery: bags on the challan, received, rejected and accepted, bags issued from the lot, lot balance, approximate manufacturing date, age and status.
- Issues — one row per issue slip, against a lot number, with the item of work and who took it.
- Daily Balance — opening, received, issued and closing balance for every day of the period, a physical count column, a summary that ties the daily view to the lot view, and the balance by cement type.
- Filled Sample — four lots, six issues and ten days of daily balance.
How does the cement stock register sheet calculate?
- Bags accepted = bags received − bags rejected. Only accepted bags enter stock.
- Lot balance = bags accepted − bags issued from that lot. Returns are entered as negative issues and add back.
- Approximate manufacturing date = the first day of the week of manufacture printed on the bag, and age = stock date − that date.
- Closing balance for each day = opening balance + bags accepted that day − bags issued that day, and the next day opens on it. The first day opens on the lots received before the period starts.
- Status flags a duplicate lot number, a lot issued beyond what was accepted, a missing week of manufacture, or a lot older than your re-test age that still has bags in it.
Worked example from the sample sheet: 60 bags were brought forward and 892 accepted in three lots — six bags of lot L-02 were rejected as set hard. 495 bags were issued, net of a 4-bag return, leaving 457. The count on 10 March found 455, so that day is flagged. The brought-forward PPC was made in week 49 of 2025, 97 days before the stock date, so its last 15 bags are marked for re-testing.
How do you use the cement stock register template?
- Fill in Project Details: the period, the stock date and the re-test age your specification sets.
- Enter cement already in the store as the first lot, marked B/F and dated before the period starts.
- Enter each delivery on Lot Receipts with its challan, brand, type, and the week and year of manufacture from the bags; put damaged or set bags in Bags Rejected.
- Book every issue on Issues against the lot it came from, and enter returns as a negative issue marked RETURN.
- On Daily Balance, enter the physical count on the days you count the store and sign the register.
- Issue the oldest lot first, and send any lot marked OVER AGE for testing before it is used.
What should you check before relying on the cement stock register?
- The re-test age of 90 days is a placeholder. Enter the age your specification or contract sets.
- The manufacturing date is worked out from the printed week, so it is approximate to within a few days — enough to judge age, not to the day.
- A lot or issue with no date, or dated outside the period, is missing from the daily balance. The summary on Daily Balance shows when the two views disagree.
- The register counts bags. A bag that is short in weight is noted in Remarks, not entered as part of a bag.
What does each column mean?
| Column | What goes in it |
|---|---|
| Lot No. | Your number for each delivery. Cement already in the store at the start is entered as the first lot, marked B/F. |
| Brand / Type & Grade | As printed on the bags — OPC 43, OPC 53, PPC, PSC or other — so the balance can be read by type. |
| Week / Year of Mfg | The week and year of manufacture printed on the bag. They give the approximate manufacturing date the age is worked out from. |
| Bags as per Challan / Bags Received | What the supplier's challan says, and what was actually counted at the gate. The difference is shown as short or excess. |
| Bags Rejected (damaged / set) | Bags refused because they were torn, wet or set hard. They never enter stock. |
| Bags Accepted | Auto-calculated. Bags received less bags rejected — the quantity taken into stock. |
| Bags Issued from Lot / Lot Balance | Auto-calculated from the Issues sheet: everything booked against this lot, and what is left of it. |
| Age on Stock Date (days) | Auto-calculated. Days from the approximate manufacturing date to the stock date you set. |
| Status | Auto-calculated. IN STOCK or EXHAUSTED, or a flag: duplicate lot number, over-issued, missing week of manufacture, or older than your re-test age. |
| Daily Balance: Opening / Received / Issued / Closing | Auto-calculated for every day of the period from the lots and issues. Enter the physical count on the days you count the store. |
Stock and consumption are two views of the same cement. The cement consumption register records which item of work each issue went into, and the material reconciliation statement compares that consumption with the theoretical quantity for the work done.
