What is a material receipt (GRN) and stock register?
A material receipt and stock register is a site store record. Each delivery is booked in on a Goods Received Note line against its challan, each issue is booked out against the gang or item of work it went to, and a stock summary keeps a running book balance for every material to check against a physical count.
A site store register. Every delivery is booked in on a Goods Received Note (GRN) line against its challan, every issue from the store is booked out against the gang or item of work it went to, and a stock summary keeps a running book balance for each material that you check against a physical count. It is the record the monthly material reconciliation is built from.
What is in the material receipt and stock register workbook?
- Project Details — project particulars and the period the register covers.
- Stock Summary — your material list with opening stock and reorder level, and receipts, issues, book balance, physical count and difference calculated per material.
- Receipts (GRN) — one line per delivery: challan quantity, quantity actually received, short or excess, rejected, and quantity accepted into stock.
- Issues — one line per issue slip: quantity issued, to whom, and for which item of work or location.
- Filled Sample — a worked example with four materials, six deliveries and six issues.
How does the material receipt and stock register sheet calculate?
- Short / excess = quantity received − quantity as per challan. A negative figure is a short supply.
- Quantity accepted = quantity received − quantity rejected. Only this goes into stock. If more is rejected than received, the line shows a warning instead of a number.
- Book balance = opening stock + total accepted receipts − total issues, for each material code.
- Difference = physical stock − book balance, rounded to three decimals so that a count which matches is never flagged by floating-point noise.
- Status flags, in order: a duplicated material code, a negative book balance, a physical count that differs from the book, and a balance at or below the reorder level.
Worked example from the sample sheet: cement opens at 120 bags. 400 bags are received and accepted, then 300 more of which 6 are rejected as set hard — 694 accepted. Issues are 180 + 520 bags, less 4 returned to store — 696 issued. Book balance = 120 + 694 − 696 = 118 bags, which matches the physical count.
How do you use the material receipt and stock register template?
- Fill in Project Details.
- On Stock Summary, check the material list — the codes, names and units are suggestions to overwrite or extend. Enter the opening stock for each material, and a reorder level if you want a low-stock warning.
- Book every delivery on Receipts (GRN). Pick the material code from the dropdown, then enter the challan quantity and the quantity you actually counted, weighed or measured. Anything rejected at the gate goes in Qty Rejected.
- Book every issue on Issues, against the gang or sub-contractor and the item of work. Material returned to the store is entered as a negative issue marked RETURN.
- At the end of the period, count the store and enter the physical stock. The difference against the book balance is calculated and flagged.
- Carry the physical stock forward as next period's opening stock.
What should you check before relying on the material receipt and stock register?
- The book balance is only as good as the entries. A delivery or issue that was never written down shows up as an unexplained difference at the physical count — investigate it rather than adjusting it away.
- Take stock on the quantity received, not the challan quantity. The short/excess column is the evidence for your debit note.
- Keep units consistent with the material list: cement in bags of 50 kg, sand and aggregate in cum (1 brass = 100 cft = 2.83 cum), steel by weighbridge weight in kg. If steel is received by count, convert with the unit weight D²/162 kg per metre (D in mm).
- This template records quantities only. It contains no rates and no consumption norms.
What does each column mean?
| Column | What goes in it |
|---|---|
| GRN No. / Date | The goods received note number and date of delivery — one line per delivery, however many materials the challan covers. |
| Material Code | Picked from a dropdown of your material list on the Stock Summary sheet. Name and unit fill themselves in; a code not in the list is flagged, never silently dropped. |
| Supplier / Challan / Vehicle No. | Who delivered it and on which document and vehicle — what a debit note or a dispute is built from. |
| Indent / PO Ref. | The indent or purchase order the delivery was made against. |
| Qty as per Challan | The quantity the supplier's challan claims. |
| Qty Received | The quantity actually counted, weighed or measured at the gate. |
| Short (−) / Excess (+) | Auto-calculated. Received minus challan quantity — the evidence for a short-supply debit note. |
| Qty Rejected | Material refused at the gate for quality. Kept out of stock. |
| Qty Accepted | Auto-calculated. Received minus rejected. This, not the challan quantity, is what goes into stock. |
Site consumption has to reconcile against the work actually done. The material reconciliation statement is where this record is compared with the theoretical quantity for the work executed.
